Heading styles, metadata, and a proper structure ensure that AI, search engines, and automation can find and use the content — without extra work.

Heading styles in structure
Use Word styles (Heading 1, Heading 2, etc.) in the correct order—don’t skip levels. Screen readers navigate documents through the heading structure.

Alternative text for images
Every meaningful image, icon, and logo has alt text. Decorative elements are marked as “decorative” and do not require alt text.

Table structure
Tables must have a defined header row. Avoid merged cells—they disrupt the reading order for screen readers.

Color contrast
Text and background must meet WCAG AA contrast requirements (at least 4.5:1 for normal text). Information must not rely on color alone—also use shapes, labels, or text.

Font size and type
Body text should be at least 12 pt. Avoid decorative or italic fonts in long text sections. Sans-serif fonts improve readability on screens.

Reading order
Word and PowerPoint use a defined reading order. Use the Accessibility Checker to ensure the order matches the visual layout.

Hyperlinks
The anchor text should describe the destination—not “click here” or a raw URL. For example: “Read more about accessibility” → link.

Document metadata
Set the document title in File → Properties. Define the language (Finnish / English) — screen readers use this for correct pronunciation.

Accessibility Checker
Run Microsoft’s built-in accessibility check before publishing: Review → Check Accessibility. Fix all errors and carefully review warnings.
